This policy explains what happens to the information you give us when you join the waiting list for The Lago Heritage Journey — who holds it, why, for how long, and what you can ask us to do with it.
We have written it in plain language on purpose. Much of what you share with us is personal in the deepest sense: your family name, where your ancestors came from, what you hope to find. We treat it accordingly.
1. Who we are
The data controller — the party legally responsible for your personal data — is:

The Lago Heritage Journey is promoted together with Associazione Laghitani nel Mondo, whose president is Giuseppe Cino. The Association is our cultural partner in this project and helps shape the experience, but it does not receive or hold the personal data submitted through the waiting list form. Vita Calabra S.r.l. is the sole controller of that data.
We have not appointed a Data Protection Officer, as we are not required to do so under Article 37 of the GDPR. Any privacy question should be sent to the email address above.
2. What we collect
We only collect what you type into the waiting list form. There is no hidden collection, no tracking, no profiling.

Only your first name, last name and email address are mandatory. Every other field is optional: leaving one blank will not prevent you from joining the waiting list, though the more you tell us, the more precisely we can research your family and shape the itinerary.
We do not collect your IP address, we do not use analytics software, and we do not track your behaviour on the page.
3. Why we collect it and on what legal basis
Under Article 6 of the GDPR, our legal basis is your consent, given by ticking the consent box before submitting the form. We use the data for these purposes only:
- To manage the waiting list — to record your registration and contact you when the itinerary is finalised, with priority over the general public.
- To design the journey — to understand, in aggregate, which surnames, villages, seasons and interests matter most to the people who register, and to build the programme around them.
- To begin genealogical research — to search municipal and parish archives in Lago for records connected to the surname you gave us, in preparation for the journey.
- To send you related communications — occasional updates about The Lago Heritage Journey and about other heritage and roots travel experiences by Vita Calabra Tours that are genuinely relevant to what you told us.
You can withdraw your consent at any time, for all purposes or only for the last one, by writing to info@vitacalabra.com. Withdrawing consent does not affect the lawfulness of anything we did before you withdrew it. Every email we send will also carry a one-click unsubscribe link.
We do not sell your data. We do not share it with advertisers. We do not use it to build advertising audiences.
4. A note on family origins and religious heritage
Information about your ancestors and where your family came from is personal data, but it is not, in itself, a "special category" of data under Article 9 of the GDPR. We treat it with particular care all the same, because we understand what it means to you.
The form includes a tick-box for Religious Heritage among the areas of interest. This records an interest in churches, sanctuaries, feast days and religious architecture as part of Calabrian cultural heritage. It is not a declaration of your religious beliefs, we do not interpret it as one, and we do not record your religion.
5. Who else sees your data
Your data is handled by a small number of service providers acting as data processors on our instructions, under Article 28 of the GDPR:

Beyond these, we disclose personal data only where we are legally obliged to do so — for example in response to a lawful order from a public authority.
If, during genealogical research, we need to approach a municipal office, a parish or a family in Lago on your behalf, we share only what is strictly necessary for that search — typically a surname and an approximate date — and we ask you first before sharing anything that identifies you personally.
6. International transfers
monday.com and Netlify are established outside the European Union and may process data on servers located in the United States and elsewhere. These transfers are covered by the European Commission's Standard Contractual Clauses, which both providers incorporate into their terms, and by the additional safeguards those providers maintain.
You have the right to ask us for further information about these safeguards. Write to info@vitacalabra.com and we will explain what is in place.
7. How long we keep it
We keep your registration for 24 months from our last meaningful contact with you — a reply from you, an interaction with one of our emails, or a conversation about the journey. After that period we delete it.
Two exceptions apply. If you go on to book a trip with us, your data moves into our normal client records and is kept for the period required by Italian tax and tourism law. If you ask us to delete your data sooner, we do so promptly.
8. Your rights
Wherever you live, you may exercise the following rights over the data we hold about you:
- Access — obtain a copy of your data and of this information.
- Rectification — correct anything inaccurate or incomplete.
- Erasure — ask us to delete your data.
- Restriction — ask us to pause processing while a dispute is resolved.
- Portability — receive your data in a structured, machine-readable format, or have it sent to another provider.
- Objection — object to processing carried out on the basis of legitimate interest.
- Withdrawal of consent — at any time, without giving a reason.
Write to info@vitacalabra.com. We reply within 30 days, and usually much sooner. There is no charge.
If you believe we have handled your data improperly, you may lodge a complaint with the Italian supervisory authority, the Garante per la protezione dei dati personali (garanteprivacy.it), or with the authority in your own country of residence within the EU. We would appreciate the chance to put things right first.
9. Rights for residents of the United States
Many of the people who register with us live in the United States. Depending on your state — California, Colorado, Connecticut, Virginia and a growing number of others — you may have the right to know what personal information we have collected, to request its deletion or correction, to obtain a portable copy, and not to be discriminated against for exercising these rights.
To state it plainly: we do not sell your personal information, and we do not share it for cross-context behavioural advertising. We never have.
Use the same email address to exercise any of these rights. We do not require you to create an account or verify your identity beyond confirming control of the email address you registered with.
10. Security
Your form is transmitted over an encrypted HTTPS connection. Our access credentials to monday.com are stored as protected secrets on Netlify's infrastructure and are never exposed in the website's code. Access to the waiting list is limited to named members of our team.
No system is perfect, and we will not pretend otherwise. If a breach ever occurs that is likely to affect your rights, we will notify the Garante within 72 hours and inform you directly without undue delay.
11. Children
This waiting list is intended for adults. We do not knowingly collect data from anyone under 16. If a minor's details reach us — for example as part of a family group — we ask that a parent or guardian provide them. If you believe we hold a child's data without proper authorisation, write to us and we will delete it.
12. Cookies
This website does not use cookies, analytics, advertising pixels or any other tracking technology. Nothing is stored on your device. See our Cookie Policy for the full explanation.
13. Changes to this policy
If we change how we handle your data, we will update this page and revise the date at the top. If the change is significant — a new purpose, a new recipient, a longer retention period — we will email everyone on the waiting list before it takes effect.
